Creating Missed or Backdated Shifts

If a DSP couldn't clock in due to network issues or other challenges, you can manually enter a past shift on their behalf

Step 1: create the past shift

  1. Click Shifts in the left menu

  2. Click Calendar in the left menu

  3. Click + Create Shift

  4. Set the Start date and time and End date and time using the calendar and time pickers

  5. Enter the service Address (optional)

  6. Search for the clients and staff in Add people to shift, check the box next to their name, and click Add to shift.

  7. Assign each client to their primary and backup caregivers (a shift cannot be created until each client has at least one caregiver assigned):

    • Option 1: Drag and drop the caregiver onto the client

    • Option 2: Click Assign staff on each client and select the caregiver from the list

  8. Click Create shift

  9. Click Proceed on the Book Shift pop up

Important: The shift will be in the Missed status until the Billing record and Payment records are created.


Step 2: add billing record

  1. Click on the Billing tile

  2. Click + Add Record

  3. Fill out the required information:

    • Client name

    • Caregiver name

    • Start Time and End Time

    • Location

    • Billing Code (will only show active billing codes based on the client’s budget)

  4. Click Save

  5. Click Confirm


Step 3: add payment record

  1. Go back to the Shift Overview and click the Payments tile

  2. Click + Add Record

  3. Fill out the required information:

    • Caregiver

    • Start Time and End Time

    • Location

    • Rate (per hour or per day, as applicable)

  4. Click Save


Step 4: add post-shift reports (optional)

If the DSP has access, they can log into the Giv app and:

  1. Fill out post-shift notes

  2. Log goals, medications, or incidents

Alternatively, an admin can enter this info manually:

  1. Go to the caregiver’s shift

  2. Click on the Charting tile

  3. Click on each tab (i.e. Notes, Goals, Medications, Forms, and Incidents)

  4. Add relevant details (i.e. notes, administrations, refusals, outcomes)
