Correcting Shifts

How to make corrections to past shifts.

Shift corrections may be needed if a DSP forgot to clock in or clocked in late, stayed later than expected, or forgot to log documentation.

Step 1: locate the completed shift

  1. Click Shifts in the left menu

  2. Click Scheduling in the left menu

  3. Find the shift in question and click Details

To help find the completed shift:

  • Use the From and To filter to narrow the date range

  • Click the Status filter and select Completed

  • Search for the caregiver or client in the search bar


Step 2: edit the billing record

There are two options when editing a billing record. If the DSP forgot to clock in or out, change the start or end time of the billing record to align with the original shift. If the DSP worked longer than the original shift, create an additional billing record.

Option 1: Change the start or end time of the original shift.

  1. Click the Billing tile at the bottom of the page

  2. Click Edit in the top right corner

  3. Adjust the Start or End Times as needed

  4. Click Save

Option 2: Add an additional billing record.

  1. Click the Billing tile at the bottom of the page

  2. Click + Add Record

  3. Select the Client’s name in the dropdown menu

  4. Select the Caregiver’s name in the dropdown menu

  5. Set the Start Time and End Time

  6. Enter the Location

  7. Select the Billing Code from the dropdown menu (only Billing codes tied to the Client’s budget will appear)

  8. Click Save


Step 3: edit the caregiver payment

  1. Go back to the Shift Overview using the back arrow or the Overview breadcrumb at the top

  2. Click the Payments tile at the bottom of the page

  3. Click Edit in the top right corner

  4. Adjust the Start or End Times as needed

  5. Click Save

Note: Keeping time entries in sync ensures payroll accuracy.


Step 4: update charting (goals, meds, incidents)

  1. Go back to the Shift Overview using the back arrow or the Overview breadcrumb at the top

  2. Click the Charting tile at the bottom of the page

  3. View, add, or edit:

    • Notes about the shift

    • Goals worked on

    • Medications administered or refused

    • Forms

    • Incident Reports

  4. Ensure everything is logged as needed for the client

Charting updates can be made by admins or the DSP (if enabled in post-shift permissions).

Note: All entries will be tied to that specific shift for audit and reporting purposes.


Auditing Completed Shifts

Another way to find and audit completed shifts is through the Service Records.

  1. Click Finance in the left menu

  2. Click Claims in the left menu

  3. Click Service Records in the slide-out menu

  4. Find the shift by filtering the table using the date range, search bar, or other filters.

  5. After finding the shift, scroll to the far right and click View Shift
