𧊠Overview
Until now, anyone in Giv other than front-line DSPs could see every client and every staff member in your agency, whether or not they worked with them (based on the permissions their role had). For a growing agency, that means supervisors scrolling past hundreds of people they never support. It also means client information is visible to employees who have no role in that clientâs care.
Care Teams fixes this. You organize your agency into teams of staff and clients, and Giv uses those teams to decide what each person can see. A house supervisor sees the staff and clients in their house. A regional director sees every house in their region. A DSP sees the clients theyâre assigned to. Admins still see everything.
Care Teams replaces the Groups feature. Your existing Groups have been converted into Teams automatically, so nobody has to rebuild anything. Nobodyâs access changes on day one. Visibility only narrows when you start adding people to teams and adjusting assignments.
đĽ Impacted Users
Admins build and manage teams, nest teams inside each other, adjust which clients each staff member is assigned to, and assign clients directly to individuals. Admins keep full, agency-wide visibility no matter which teams theyâre on.
Supervisors, coordinators, and other office staff see only the staff and clients connected to them through their teams and assignments. Everywhere in Giv, their client and staff lists get shorter and more relevant once theyâre on a team.
DSPs and caregivers keep seeing only the clients assigned to them. Their assigned client list, used for impromptu shifts and Desktop Charting, now comes from Care Teams. The list they had before carried over, so nothing changes for them on day one.
Clients have their information visible only to the staff who are part of their care, rather than to the whole office.
Staff not yet on any team see what they see today. Care Teams doesnât restrict anyone until you place them on a team or give them a direct assignment.
⨠New Features and Feature Enhancements
How visibility works
These are the rules behind everything else in Care Teams:
Situation | What that person can see |
On a team | Every staff member on that team, and the teamĘźs clients that are assigned to them |
On a team that contains other teams | Everyone in the teams below, at every level |
On a team inside another team | Their own team only, not the parent team or the parent teamĘźs clients |
Has a client assigned directly to them | That client, even with no team in common. Their teammates donĘźt gain access to that client |
Not on any team and no direct assignments | Everyone, same as today |
Admin | Everyone, always |
Three points are worth repeating to your staff:
Visibility follows assignment. When you add clients to a team, theyâre assigned to every staff member on the team by default. If you narrow a staff memberâs assignments, they lose visibility of the clients you removed, not just responsibility for them.
Visibility flows down, never up. People on an outer team see into the teams inside it. People on an inner team donât see out.
Being on any team turns on scoping. Once a person joins a team or receives a direct assignment, Giv shows them only what those connections grant.
Teams list
Go to Settings â Feature Settings â Teams. The Teams table replaces the old Groups list.
For each team youâll see:
The team name
Its staff and clients
Whether the team is used for scheduling
Any teams nested inside it, which you can expand inline
Use the search bar to find a team by name. If you havenât created any teams yet, youâll see a No teams yet message with a button to create your first one.
Create a team
In Settings â Feature Settings â Teams, click to create a new team.
Enter a team name. The name is required.
Click Add People. Before the picker opens, a reminder explains that by default all clients on the team will be visible to all staff on the team, and that you can adjust this per staff member afterward. Choose to continue or cancel.
In the people picker, search by name and use the All / Staff / Client filter to narrow the list. Each row shows an icon for whether the person is staff or a client. If someone is already on other teams, a small team icon with a count appears. Hover over it to see which teams.
Select everyone you want on the team and save.
Youâll see a Team created successfully message, and the team appears in the Teams table with its staff and client counts.
Duplicate check: If the exact set of people you selected already makes up an existing team, Giv tells you and offers a View existing team link, so you donât end up with two identical teams.
Add someone to a team when you create them
The Add Staff and Add Client forms now include an optional team field. Pick one or more teams, and the new person joins those teams as soon as theyâre created. Leave it blank to create them without a team, the same as today.
Edit, remove people, and delete teams
Rename a team from the teamâs detail page.
Add or remove people from the teamâs detail page at any time.
Removing someone asks you to confirm first. The confirmation names the people affected by the change. Removing a staff member lists the clients theyâll no longer be assigned to through this team. Removing a client lists the staff whoâll lose that client.
Deleting a team also asks for confirmation. Deleting a team doesnât delete any staff, clients, or nested teams. They just stop being associated with that team.
Nest teams inside teams
Nesting lets you model how your agency is actually organized, such as Region â House â Day Shift / Night Shift, so oversight staff get visibility without being added to every team individually.
To nest a team:
Open the team that should be on the outside, for example âNorth Region.â
In the Subteams section, click Add Team.
Pick an existing team to place inside it, or create a new team right there.
Things to know:
Teams can nest as many levels deep as you need. Open any nested team to see and manage whatâs inside it.
A person on âNorth Regionâ can see everyone in every house and shift inside it. A DSP on âMaple House â Night Shiftâ canât see the rest of North Region.
Clients attached directly to a parent team arenât visible to members of the teams inside it.
Giv blocks any change that would place a team inside itself, directly or through another team, and explains why.
To take a team out of its parent, use Remove on that teamâs row in the Subteams section. This only un-nests it. It doesnât delete it.
Example: Your Director of Residential Services oversees 12 houses. Instead of adding her to 12 house teams and remembering to add her to the 13th, create a âResidentialâ team, nest all 12 house teams inside it, and put her on âResidential.â When you open a new house, nest its team under âResidentialâ and she can see it immediately.
Choose which clients each staff member is assigned to
By default, every client on a team is assigned to every staff member on the team. When that doesnât match reality, you can narrow it.
Open the team and find the staff member.
Click Manage on their row.
A list of all the teamâs clients opens. Clients currently assigned to this person are checked.
Uncheck any client this person doesnât work with, or use Select All to assign them everything again.
Click Save Changes, or Cancel to discard your changes.
On the team detail page, you can check assignments at a glance:
Each staff row shows how many of the teamâs clients theyâre assigned to, for example â5 of 8 clients.â
Each client row shows how many of the teamâs staff can see them.
Staff who belong to more than one team are marked as such.
The All / Clients / Staff tabs show counts so you can quickly see the teamâs makeup.
Remember: Unchecking a client removes that client from this staff memberâs view entirely, unless they can still see the client some other way, such as through another team or a direct assignment. Anyone on a parent team above this one still sees the client.
Teams & People on staff and client profiles
Every staff profile now has a Teams & People section that answers âwho can this person see, and why?â in one place. It shows:
Teams the person belongs to. Admins can follow a Manage link to the full team. Non-admins see each teamâs name and staff and client counts, but not the full roster.
Clients they can see through their teams, labeled with the team each one comes through.
Directly assigned clients, in their own section, marked as direct so you can tell them apart from team-based access.
Every client profile has a matching Teams & People view showing which teams the client is on and which staff can see them.
Assign a client directly to a person
Sometimes a staff member needs to see one specific client without joining that clientâs team. A float DSP covering one person is a common example. Direct assignment handles this, and it replaces the impromptu shift list.
To assign directly:
Open the staff memberâs profile and go to Teams & People.
Click Assign clients directly.
Choose one or more clients and confirm.
To remove a direct assignment, click Unassign next to the client and confirm. If you change your mind, use Undo on the confirmation message.
Things to know:
A direct assignment gives only that person access to the client. Their teammates donât gain access to the client because of it.
If the person can also see the client through a team, removing the direct assignment wonât hide the client from them. They keep access through the team.
If you remove a client from a team while some staff are also directly assigned to that client, Giv warns you and lists the affected staff and client pairs before you confirm.
Each caregiverâs existing impromptu shift list has been converted into direct assignments. DSPs see exactly the same clients they did before, both for impromptu shifts and in Desktop Charting.
Use teams for scheduling
Every team has a Use for scheduling toggle.
On: The team appears as a filter and selection option on the Calendar, just like Groups did.
Off: The team still controls visibility but doesnât appear on the Calendar.
Teams migrated from your old Groups have scheduling turned on, so your Calendar works exactly as it did before. Teams you create only to control visibility, such as a âRegional Leadershipâ team, can leave it off to keep your Calendar uncluttered.
Visibility applies across Giv
Care Teams visibility isnât limited to the Teams page. Giv applies it on the server everywhere client or staff information appears, including:
Client and staff lists
Budgets
Payroll and timesheets
Documents
The Calendar and Scheduling
Reports and AI Analytics
A scoped user canât reach information outside their teams by changing a filter, following an old link, or using a different screen.
⨠Feature Set and Affected Other Feature Areas
Feature area: Care Teams belongs to Agency Settings â Feature Settings and is part of Givâs access and permissions capabilities.
What it replaces:
Groups: All existing Groups became Teams automatically, with their staff and clients intact. Groups no longer exist as a separate feature.
Impromptu shift list: Each caregiverâs list became direct client assignments, managed from the staff profile.
Other feature areas it affects:
Calendar and Scheduling: Teams with Use for scheduling turned on act as Calendar filters, replacing Groups. Scheduling views show only the shifts, clients, and staff a user is allowed to see.
Staff Profile and Client Profile: Both have the new Teams & People section.
Add Staff and Add Client: New optional team field.
Impromptu Shifts and Desktop Charting: The clients a DSP can choose from now come from their direct assignments and team assignments.
Caregiver mobile app: Caregivers see a client list scoped by Care Teams. The mobile app has no new team screens.
Budgets, Payroll, Timesheets, and Documents: Results are limited to the userâs visible clients and staff.
Reports and AI Analytics: Answers, saved charts, dashboards, and exports include only the clients and staff the viewer has access to.
Not included in this release:
Visibility based on role or reporting hierarchy within a team. For example, a lead canât yet see more than a DSP on the same team.
Excluding a specific person from seeing someone beyond narrowing their assignments, or granting individual exceptions.
A âwhy can this person see this?â explanation.
Drag-and-drop or bulk moves between teams.
đ Issues and Bug Fixes
Caregiver client lists: Saving a caregiverâs client list no longer silently skips clients who donât have an active client record. Youâll now be told which clients couldnât be added.
âGrant access to all clientsâ: This option now saves correctly instead of showing an error.
Bulk enabling staff: Bulk enable now follows the same permission rules as editing a single caregiver. You can no longer change a caregiverâs settings in bulk when you arenât allowed to change them individually.
Caregiver client list loading: If a caregiverâs client list fails to load, it now shows an error with a way to retry, instead of staying stuck on loading.
