Creating and Managing Care Teams

How to create teams, add staff and clients, nest teams, and manage client assignments in the Dashboard.

Teams allow agencies to organize staff and clients and control access to their information in Giv. Access is based on team membership and client assignments. Admins retain access to all staff and clients across the agency.

Teams replace the previous Groups feature. Existing Groups were automatically converted into Teams, preserving staff and client memberships. Existing access remains unchanged until team memberships or client assignments are updated.

Note: If Teams isn't available in your Dashboard, contact your account manager or Giv Support to have it enabled.

Viewing Teams

To view teams in the Dashboard:

  1. Click the Agency Settings icon in the the upper-right corner

  2. Select the Teams card

The Teams table displays each team's staff, clients, and any nested teams. Nested teams appear beneath their parent team. Use the search bar to find a team by name. Hover over staff or clients to view their full names instead of just their initials.

Select any team to open its page, view its details, and make changes.

Creating a Team

To create a team and add staff and clients:

  1. On the Teams page, click + Create Team

  2. Click the pencil icon next to the default team name, enter a team name, and click the checkmark to save

  3. Click Add People

  4. Search for and select the staff and clients to add. Each person is labeled as Staff or Client

  5. Click Add to team

  6. Review the Heads up message, then click Add to team to confirm

After confirming, the selected staff and clients appear in the team's Members list.

Below each staff member's name, you'll see the clients they're assigned to. Below each client's name, you'll see the staff members assigned to them.

By default, each staff member added to a team is automatically assigned to all clients on that team. To change which clients a staff member can access, hover over the staff member and click Manage. Uncheck any clients you want to remove access to, then click Save Changes. The staff member will only have access to the clients who remain selected, unless another access path provides access to additional clients.

Editing and Deleting Teams

You can update a team's name and membership or delete a team from the Dashboard.

  • Rename a team: Open the team, click the pencil icon next to the name, update the name, and click the checkmark to save

  • Add people: Open the team and click Add People

  • Remove people: Hover over the person in the team's Members list and click Remove

  • Delete a team: Open the team, click the three dots in the top-right corner, and select Delete Team

Note: Deleting a team doesn't delete its staff, clients, or nested teams from the account. For nested teams, deleting the parent team removes the association with that parent team.

Nesting Teams

Nested teams allow agencies to organize teams according to their structure, such as Region → House → Day Shift / Night Shift. Staff on a parent team can access information from teams nested beneath it without being added to each team individually.

How to nest a team:

  1. Open the team that should be the parent team

  2. In the Subteams section, click Add Team

  3. Select one of the following:

    • Add existing team to nest an existing team inside this team

    • Create new team inside to create a new subteam

  4. If creating a new subteam, click the pencil icon to enter a name, then click the checkmark to save

  5. Click Add People to add staff and clients to the subteam

To return to the parent team, click the parent team's name in the breadcrumbs at the top of the page.

Example: A Director of Residential Services oversees 12 houses. Instead of adding the director to all 12 house teams, create a Residential team, nest each house team inside it, and add the director to Residential. When a new house opens, nest its team under Residential to give the director access to it.

Note: Clients added directly to a parent team aren't automatically visible to staff on its nested teams. Giv also prevents a team from being nested inside itself, either directly or indirectly through another team.

To remove a team from its parent, hover over the subteam in the Subteams section and click Remove. This removes the team from the parent without deleting the team or its members.

Managing Client Assignments

You can manage which clients a staff member can access through a team in the Dashboard.

  1. Open the team and find the staff member

  2. Hover over the staff member and click Manage

  3. Uncheck any clients the staff member shouldn't have access to, or click Select All to assign all clients on the team

  4. Click Save Changes

Important: Removing a client from a staff member's assignments removes their access to that client unless they can still access the client through another team, a parent team, or a direct assignment.

Assigning a Client Directly to a Staff Member

Direct assignments allow a staff member to access specific clients without being a member of the clients' team. For example, you can directly assign a client to a float DSP who provides backup coverage.

To assign clients directly to a staff member:

  1. Click Staff in the left menu

  2. Find and select the staff member

  3. Click Teams & People in the slide-out menu

  4. Click Assign clients directly

  5. Select the clients the staff member should have access to

  6. Click Assign Clients

To remove a direct assignment:

  1. Open the staff member's Teams & People section

  2. Click the Assigned Clients tab

  3. Hover over the client and click Unassign

Note: A direct assignment grants access only to the staff member it's assigned to. Other staff members on the same team don't automatically gain access to that client.

You can also assign clients directly from the staff member's Client Access section. Open the staff member's profile, click Client Access in the slide-out menu, and click Add Access +. For more information, see Managing Client Access for Caregivers.

Viewing Teams and Client Access

The Teams & People section on staff and client profiles shows team memberships and client access.

  • Staff profiles: Show the teams the staff member belongs to, the clients they can access through each team, and any clients assigned to them directly.

  • Client profiles: Show the teams the client belongs to and the staff members who have access to them.

Using Teams for Scheduling

Each team has a Show in scheduling toggle in the upper-right corner of the team page. This setting controls whether the team appears in the Calendar, not whether the team affects visibility.

  • On: The team appears as a filter and selection option on the Calendar

  • Off: The team continues to control visibility but doesn't appear on the Calendar

Teams converted from Groups have scheduling enabled, so the Calendar continues to work as before. Teams used only to manage visibility, such as a leadership team, can have this setting turned off.

Understanding Team Visibility

Giv determines which staff and client information a person can access based on their team memberships and client assignments.

Situation

What the person can see

Member of a team

Staff on the same team and clients assigned to them through that team.

Member of a parent team

Staff and clients in nested teams at all levels, subject to client assignments.

Member of a nested team

Staff and clients in their own team and its nested teams, subject to client assignments. They don't gain access to the parent team's staff or clients through nested-team membership alone.

Has a direct client assignment

The directly assigned client, even without shared team membership. Other team members don't automatically gain access.

The directly assigned client, even without shared team membership. Other team members don't automatically gain access.

The same visibility they had before team-based access was configured.

Admin

All staff and clients across the agency.

Keep the following rules in mind:

  • Visibility follows assignment. When a staff member's client assignments are narrowed, they lose visibility of the removed clients unless another access path remains.

  • Visibility flows down, never up. Staff on a parent team can access information from nested teams. Staff on a nested team can't access the parent team's information through that membership alone.

  • Joining a team turns on visibility restrictions. Once a person joins a team or receives a direct assignment, Giv limits their access to the information those connections allow.

Team visibility applies throughout Giv wherever client and staff information appears, including client and staff lists, Budgets, Payroll and Timesheets, Documents, the Calendar, Reports, and AI Analytics.
