The Client Access section of a caregiver's profile determines which clients they can access in the Giv app for Impromptu Shifts and Advanced Charting.
Agencies can grant access to individual clients or all clients, allowing caregivers to start unscheduled shifts with clients and document when they are not in service with a client or outside of a shift. This makes Client Access useful for backup caregivers, floaters, nurses, managers, and caregivers who work outside their regular schedules.
Client Access is managed individually for each caregiver.
What Client Access Controls
Client Access determines which clients a caregiver can access for:
Impromptu Shifts: Caregivers can start an impromptu (unscheduled) shift with clients they have access to
Advanced Charting Access: Caregivers can submit documentation for clients without being in service with them during a shift. They can also submit documentation outside of a shift by going to Settings > My Clients in the app
Enable either or both features in the caregiver's Settings to allow them to use the corresponding features.
See Overview: Caregiver Profile for more information on how to enable these settings in the Dashboard.
Note: Client Access determines which clients the caregiver can access, while the caregiver's Settings determine which features they can use.
Navigating to Client Access
Click Staff in the left menu
Search for and select the staff member
Click Client Access in the slide-out menu
The Client Access page lists all clients and shows whether the caregiver has Granted or No Access. For clients with access, click Revoke next to the client's name to quickly remove access.
Use the Search bar to find a specific client. Use the All Clients dropdown to filter by Access Granted or No Access. The Name (A-Z) dropdown can be used to sort clients alphabetically or in reverse alphabetical order.
Granting Client Access
To grant access to individual clients
Click Add Access +
Select the clients you want the caregiver to access
Click Save
The caregiver will only have access to the selected clients. You can revoke access at any time.
When granting access to individual clients, you must manually add access when the caregiver needs access to a new client.
To grant access to all clients:
Client Add Access +
Turn on Grant access to all clients
Click Save
When Grant access to all clients is enabled, the caregiver automatically receives access to clients added to the agency in the future. This can be useful for floaters, nurses, managers, and other caregivers who need access to a large number of clients.
If the caregiver should only have access to specific clients, select the clients individually instead.
Note: After changing Client Access, the caregiver may need to fully close and reopen the Giv app for the changes to take effect.
Removing Client Access
Client access can be revoked at any time. You can remove access from individual clients, multiple clients at once, or all clients.
To revoke access from an individual client:
Find the client you want to remove
Click Revoke next to the client name
To revoke access from multiple clients:
Click Add Access +
Unselect the clients you want to remove. They will appear under Removing client(s)
Click Save
To turn off access to all clients:
Client Add Access +
Turn off the Grant access to all clients toggle
Click Save
Turning off Grant access to all clients prevents the caregiver from automatically receiving access to new clients.
Note: After changing Client Access, the caregiver may need to fully close and reopen the Giv app for the changes to take effect.
How Client Access Works in the Mobile App
Impromptu shifts
When Impromptu Shifts is enabled, caregivers can tap + New Shift to start an unscheduled shift with clients they have access to.
By default, clients without available budgets do not appear in the Impromptu Shift client list, even if the caregiver has access to them. To show all clients the caregiver has access to, regardless of budget, go to Agency Settings > Shift Settings and turn on Show all clients on Impromptu Shifts.
See Starting Impromptu and Staff-Only Shifts for more information.
Advanced Charting Access
When Advanced Charting Access is enabled, caregivers can submit documentation for clients without being in service with them during a shift. They can also submit documentation outside of a shift by going to Settings > My Clients in the mobile app.
By default, caregivers can only submit shift documentation when they are or were in service with the client during that shift. Advanced Charting Access allows them to submit documentation without being in service, including forms, incident reports, notes, goals, and medications.
Only clients the caregiver has been granted access to through Client Access appear under My Clients. Submitted documentation is added to the client's chart and can be viewed by admins in the Dashboard.
See Submitting Documentation Outside of a Shift for more information.
Note: After changing Client Access, the caregiver may need to fully close and reopen the Giv app for the changes to take effect.
Common Uses for Client Access
Backup caregivers: Give caregivers access to clients they may need to cover during call-outs or other staffing changes
Managers and nurses: Give staff access to clients they oversee so they can document without being clocked in
Floaters or multi-site staff: Use Grant access to all clients when staff need access to a broad group of clients
Restricted access: Select individual clients when a caregiver should only work with a specific group
