Starting Impromptu and Staff-Only Shifts

How to start impromptu and staff-only shifts in the mobile app.

If you are working an unplanned or unscheduled shift, you can start an impromptu shift to log your time, services, and charting. This is often used by backup caregivers or those doing administrative work.


Starting an Impromptu Shift with Clients

To start an impromptu shift with clients:

  1. Login to the app

  2. Tap + New Shift at the bottom of the screen

  3. Check the box next to the client(s) you are working the shift with

  4. Tap Start Shift

  5. Tap Clock in and start services

  6. Select the client and choose the service

  7. Tap Clock in and start services

Note: If you do not see + New Shift at the bottom of the screen or do not see clients to start services with, reach out to your admin team to set this up.


Starting an Impromptu Shift without Clients (Staff-Only)

When starting an impromptu shift, you can start a staff-only shift instead of selecting a client to start services with. Staff-only shifts are often used to track administrative work, training, or meetings.

Starting a Staff-Only Shift

To start a staff-only impromptu shift:

  1. Login to the app

  2. Tap + New Shift at the bottom of the screen

  3. Tap Start Shift (without selecting any clients)

  4. Tap Confirm

  5. Tap Clock in only

Adding Clients to a Staff-Only Shift (Optional)

After starting a staff-only shift, you can then add clients and/or start services.

To add clients:

  1. Tap View shift at the top of the Home screen

  2. Tap the + sign across from Clients

  3. Select the client(s)

  4. Choose from one of the two options below:

    • Add: Use this option if you want to add a client without starting services. You can later start services by going into the shift and tapping the clock icon in the top right corner

    • Add and start services: Use this option if you want to add a client and start services. If you choose this option:

      1. Select the client on the Manage Services screen

      2. Choose the service

      3. Tap Confirm changes

Note: If you do not have the ability to start a staff-only shift or do not see clients to add to the shift, reach out to your admin team to set this up.


Starting, Changing, and Ending Services

Starting, changing, and editing services can be done while clocked into your shift. See Managing Services While Clocked In for more information.


Person Specific Training

When selecting a service for a client, you may see a red Training required label under their name.

In order to start a service with the client, you will first need to acknowledge that you have read and understand their Person Specific Training.

To acknowledge the training:

  1. Select the client

  2. Scroll through and review all the information

  3. Check I agree to the above statement at the bottom

  4. Tap Acknowledge

These steps are required before starting a service with a client for the first time, more than 30 days have passed since your last shift with the client, or any information in their client profile has been updated.

Once the Person Specific Training has been acknowledged, you can start services with the client.


Budget Warnings

If the budget for the service you are running is nearing its limit, specific warning messages will appear. See Budget Warnings for more information.


Running Multiple Impromptu Shifts in One Day

You can complete as many impromptu shifts as needed in a single day—there’s no set limit. If the + New Shift button appears grayed out after finishing a shift, refresh the app by pulling down on the Home screen. If it’s still grayed out, close the app completely and reopen it. The button should then be active and ready to use again.


Approvals

Impromptu shifts may require admin approval before they can be closed. You can still clock out, but the shift will remain Pending Approval until an admin approves it.


Clocking Out of the Shift

Clocking out of an impromptu shift will function the same as a scheduled shift. Go to View shift, tap the Clock icon, and select clock out.
