Approving Impromptu Shifts

How to approve impromptu shifts in the Dashboard.

Impromptu shifts can be configured to require administrator approval before the shift is closed. This ensures strong compliance and greater control over billing.


Before you begin

Before the approval feature can be enabled, the impromptu shift feature needs to be enabled in Feature Settings and on the individual caregiver profile.

To turn on impromptu shifts in Feature Settings:

  1. Click the dropdown arrow in the top left corner

  2. Click Feature Settings

  3. Select the Shift settings tile

  4. Turn on Enable Impromptu Shift Features

To turn on impromptu shifts in the caregiver profile:

  1. Click Personnel in the left menu

  2. Click Staff in the left menu

  3. Search for the staff member and click on their name

  4. Click Settings in the slide-out menu

  5. Turn on Impromptu Shifts

Once these features are enabled, you can turn on the approval setting.


Step 1: enable the feature on the caregiver profile

The impromptu shift approval setting must be turned on for each individual caregiver.

To enable the approval setting:

  1. Click Personnel in the left menu

  2. Click Staff in the left menu

  3. Search for the staff member and click on their name

  4. Click Settings in the slide-out menu

  5. Turn on Impromptu Shift Approval


Step 2: approve the impromptu shift

After an impromptu shift is completed, its status will show as Pending Approval until an admin approves it. There are several ways to locate and approve these shifts.

Option 1: Home

  1. Click Home in the left menu

  2. Scroll down to the Pending Approval section

  3. Hover over the impromptu shift and click View Shift

  4. Click Approve or Reject at the top

Option 2: Calendar

  1. Click Shifts in the left menu

  2. Click Calendar in the left menu

  3. Find and click on the shift

    • Pending Approval shifts appear in gray

    • Use the All Status dropdown and select Pending Approval to filter shifts if needed

  4. Click Approve or Reject at the top

Once the impromptu shift is approved, its status updates to Completed, and the shift data will be included in payroll and service records.
