Managing Medications in the Client Profile

How to manage medications and track medication administration for clients in the Dashboard.

The Medications section of the client profile displays all active medications available for the client. Enter all medications, dosages, and administration instructions for the caregiver to view.

If medications are not added in this section, DSPs will be unable to view or document medication administrations or refusals during their shift. The Meds section in the mobile app functions as the client's eMAR, allowing DSPs to track and record all medication activity electronically.

Before medications are assigned to a client plan, you must first create a medication type. A medication type is a customizable questionnaire that determines which questions a DSP must complete each time they administer medication to a client. See Creating Medication Types for more details.


Step 1: Navigate to the Client Profile

To access the client's profile:

  1. Click Clients in the left menu

  2. Search for the client and select Profile

  3. Click Medications in the slide-out menu


Step 2: Add the Medication

To add a medication to the client plan:

  1. Click Create Medication +

  2. Complete the required fields:

    • Medication Type

    • Medication name

    • Dosage

    • Specified Route (how the medication is taken, such as oral or injection)

    • Description

    • Side Effects

  3. Upload images (up to 4) so DSPs can easily identify pills and view prescription details, instructions, and other important information

Note: If no Medication Type is selected, the DSP will only be prompted to enter the Time Administered and Details.


Step 3: Set up Medication Reminders (Optional)

If desired, you can send medication reminder push notifications to caregivers to remind them when a client's medication should be administered. You can choose which days and times the notifications are sent. Caregiver will only receive these notifications while they are in service with the client.

To setup reminders:

  1. Toggle on Time varies daily

  2. Select a day and add the reminder time(s)

  3. Click the + icon to add multipole reminder times for the same day


Step 4: Save the Medication

Once the medication is setup as desired, click Save.

Caregivers will be able to see the list of medications assigned to the clients while in shift with them. They can then log medication administrations and refusals.


Editing and Archiving Medications

Medications can be Edited or Archived by clicking View details next to the medication and clicking the 3 dots. Once archived, the medication will no longer appear.


Tracking Medication Administration

Monitor and track the medication administrations, refusals, and missed doses in the client's profile. Administrations can be tracked in two areas in the client's profile: the Charting and the Overview section.

Medications Charting

To view which medications were administered, when, and by whom:

  1. Click Clients in the left menu

  2. Search for the client and select Profile

  3. Click Charting in the slide-out menu

  4. Click the Medications tab

You can use the search bar to search by key word, or filter the list by creator and date range.

Med Administration Overview

To view an overview of medication administration and refusals:

  1. Click Clients in the left menu

  2. Search for the client and select Profile

  3. In the client's Dashboard, click the Meds Administration tab

The Meds Administration tab includes 3 charts to help monitor medication compliance, track trends, and review missed or refused medications:

  • Administration Summary: Shows Late, Missed, Refused, and On Time administrations. Can be filtered by medication.

  • Refused and Missed Meds Report: Lists all refused and missed medications, including the medication and date/time.

  • Medication Administration Record: Displays completed medication administrations by date and administration time.
