Shift Corrections

Walkthrough how to make shift corrections, if a caregiver clocked in late, stayed later than expected, or forgot to log documentation.

Step 1: locate the completed shift

  1. Go to ShiftsScheduling

  2. Use the Status Filter at the top and select Completed

  3. Find the shift in question and click into Details


Step 2: edit the billing record

  1. Click the Billing tab at the bottom of the shift

  2. Click the Client’s name to expand their record

  3. Click Edit next to the billing entry

  4. Adjust the Start or End Time as needed (e.g., from 11:08 AM to 11:00 AM)

  5. Confirm the attestation, then click Save

Use this to correct clock-in errors or align with actual shift start/end times.


Optional: add an additional billing record

If the caregiver worked beyond the original shift:

  1. Click Add Record

  2. Select:

    • Client name

    • Caregiver

    • Date and time

    • Location

    • Billing code (only codes tied to the client’s budget will appear)

  3. Click Save

🧠 Use this to log unplanned overtime or shifts that ran longer than scheduled.


Step 3: edit the caregiver payment

  1. Go to the Payments tab

  2. Edit the caregiver’s record to match the updated time range

    • Example: Change 11:08 AM to 11:00 AM

  3. Click Save


Step 4: update charting (goals, meds, incidents)

  1. Navigate to the Charting tab

  2. Add or edit:

    • Goals worked on

    • Medications administered or refused

    • Incident Reports

  3. Ensure everything is logged as needed for the individual

📌 Charting updates can be made by admins or the caregiver (if enabled in post-shift permissions).
