Step 1: create a shift in the past
Go to Shifts → Scheduling
Click Create Shift
Choose the date and time the shift occurred
Example: Friday, 12:30 PM – 3:30 PM
Enter the service location
Click Save, then Next
Step 2: add client and caregiver
Add the Client who received services
e.g., John Jacob
Add the Caregiver who delivered services
e.g., Matt
Click Next
Step 3: assign the client to the caregiver
On the Caregivers tab, assign the client to the caregiver for the full shift duration
Click Book Shift
Confirm the Attestation message about entering historical data
🟢 This creates the shift in a closed status, meaning it has already occurred
Step 4: add billing record
After the shift is booked, go to the Billing section
Click Add Record
Enter:
Client name (e.g., John Jacob)
Caregiver name (e.g., Matt)
Date & time of the shift
Location
Billing code (based on client’s budget, e.g., “Respite Support”)
Click Save, then confirm the attestation
Step 5: add payment record for caregiver
In the same shift, go to the Payments section
Click Add Record
Enter:
Caregiver name (e.g., Matt)
Date & time of the shift
Location
Rate (per hour or per day, as applicable)
Click Save
Step 6: add post-shift reports (Optional)
If the caregiver has access, they can log into the Giv mobile app and:
Fill out post-shift notes
Log goals, medications, or incidents
Alternatively, an admin can enter this info manually:
Go to the caregiver’s shift
Navigate to Goals, Forms, or Notes
Add relevant entries (e.g., progress notes, refusals, outcomes)
