Creating a Missed Shift

If a DSP or caregiver couldn't clock in due to network issues or other challenges, you can manually enter a past shift on their behalf

Step 1: create a shift in the past

  1. Go to ShiftsScheduling

  2. Click Create Shift

  3. Choose the date and time the shift occurred

    Example: Friday, 12:30 PM – 3:30 PM

  4. Enter the service location

  5. Click Save, then Next


Step 2: add client and caregiver

  1. Add the Client who received services

    e.g., John Jacob

  2. Add the Caregiver who delivered services

    e.g., Matt

  3. Click Next


Step 3: assign the client to the caregiver

  • On the Caregivers tab, assign the client to the caregiver for the full shift duration

  • Click Book Shift

  • Confirm the Attestation message about entering historical data

🟢 This creates the shift in a closed status, meaning it has already occurred


Step 4: add billing record

  1. After the shift is booked, go to the Billing section

  2. Click Add Record

  3. Enter:

    • Client name (e.g., John Jacob)

    • Caregiver name (e.g., Matt)

    • Date & time of the shift

    • Location

    • Billing code (based on client’s budget, e.g., “Respite Support”)

  4. Click Save, then confirm the attestation


Step 5: add payment record for caregiver

  1. In the same shift, go to the Payments section

  2. Click Add Record

  3. Enter:

    • Caregiver name (e.g., Matt)

    • Date & time of the shift

    • Location

    • Rate (per hour or per day, as applicable)

  4. Click Save


Step 6: add post-shift reports (Optional)

  • If the caregiver has access, they can log into the Giv mobile app and:

    • Fill out post-shift notes

    • Log goals, medications, or incidents

  • Alternatively, an admin can enter this info manually:

    1. Go to the caregiver’s shift

    2. Navigate to Goals, Forms, or Notes

    3. Add relevant entries (e.g., progress notes, refusals, outcomes)
