Managing Staff for Payroll

How to manage staff for payroll in the Dashboard.

Once your company is set up, you can add employees and contractors to payroll and keep their pay information up to date. This article explains how to view and add staff, set up salaried employees, and manage employee deductions.


Viewing Your Staff

To view your staff and their payroll setup:

  1. Click Payroll in the left menu.

  2. Select Staff Management from the slide-out menu.

  3. Select Employees or Contractors.

The Employees and Contractors views show each staff member's payroll setup status:

  • Blocked: Hover over the status to see what information is missing or needs to be updated.

  • Needs Attention: Hover over the status to see what information is needed to complete their payroll setup.

  • Complete: The staff member's payroll setup is complete.

The staff table includes:

  • Status

  • First name

  • Last name

  • Start date

  • End date

  • Workplace(s)

  • Email

  • SSN (last 4 digits)

  • Date of birth

  • Home address

Click a staff member's name to view or edit their payroll details.


Adding Staff to Payroll

When adding a staff member:

  1. Click Staff in the left menu

  2. Click + Add Staff

  3. Enter the basic information:

    • First Name

    • Last Name

    • Phone Number

    • Email Address

    • Role

    • Date of Birth

    • Address

  4. Enter the Employment Details:

    • Employment type

    • Pay rate

    • Hire date

    • Workplace

    • Pay schedule

  5. Click Invite

Once a staff member is added and assigned a pay schedule, they'll complete the rest of their payroll setup themselves. See Completing Your Payroll Onboarding for more information.

Important: Assigning a pay schedule adds the staff member to payroll and automatically sends them their payroll onboarding link. If you leave the pay schedule blank, the staff member will be set up in Giv but won't be included in payroll.


Setting Up Salaried Employees

Staff members can be set up as either hourly or salaried.

Salaried employees are paid based on an annual salary rather than an hourly rate. This may include admins, coordinators, and other staff members who don't clock in for their work.

A salaried employee can also have an hourly rate if they occasionally cover shifts. In this case, hours worked at the hourly rate are paid in addition to their salary.

Note: A salaried employee without an hourly rate can't clock in. They'll see a message explaining why they can't clock in.


Managing Employee Deductions

Use Employee Deductions, located next to + Add Staff in Staff Management, to manage benefits, garnishments, and retirement deductions for individual employees.

To manage an employee's deductions:

  1. Search for the employee. Auto-suggest will help narrow the results.

  2. Select the employee to view their current deductions.

  3. Add, edit, or remove deductions as needed.

Note: Employee Deductions is only available for employees. Contractors don't have employee deductions and won't appear in the search results.
