We’ve introduced Open Shifts, a new way to simplify scheduling and improve coverage flexibility for your team.

Create Shifts Without Assigning Staff

Admins can now create shifts with only a client assigned.

When a shift is created without a caregiver, it automatically becomes an Open Shift that eligible staff can claim.

Why this matters

  • Faster scheduling with fewer steps

  • Less back-and-forth assigning staff

  • More flexibility for caregivers to work shifts that fit their availability


Smart Visibility for Eligible Caregivers

Open Shifts are automatically shown only to caregivers who are eligible to claim Open Shifts.

The system checks caregiver eligibility before displaying the shift, in V1 this is including:

  • The Staff has this feature enable in their Staff profile

Eligible caregivers will see these shifts in a dedicated Open Shifts section in the app and can claim them directly.

The result

  • Faster coverage placement

  • Reduced admin workload

  • Confidence that only qualified caregivers can accept shifts


Enabling the Open Shift Feature

  • In order to use this feature you will need to enable it in two different places. The Feature Settings page and on Staff Profiles'.

  • Feature Settings Page

    • If you navigate to Feature Settings → Shift Settings you’ll see a new toggle labelled “Open Shifts” toggle that on and you can now create Open Shifts!

  • Staff Profile

    • If you navigate to Personnel → Staff → The staff member you are wanting to turn this feature on for, you’ll see a new toggle labelled “Claim Open Shifts” toggle that on and that specific staff member can now claim Open Shifts!

How to create an Open Shift

  • Create a shift, just like normal. Click “Create Shift” from the Calendar View.

    • This will open the create shift modal

  • Create the shift as normal adding the start and end date and time, the location, and the clients.

    • When you get to this point you will see a banner that says, “This shift will be created as an Open shift, visible only to staff who are allowed in their profile settings.”

  • From here once you click “Create shift” you will see an additional step allowing you to set the number of staff that need to claim the shift in order for it to be considered “Fully Claimed

  • Once you click “Create Open Shift” the shift will then be created and eligible staff will be able to claim it.

How to claim an Open Shift

Now that you’ve enabled the feature correctly, and created an Open Shift your Staff is ready to claim and work it!

  • On the homepage of the app there is a new button labelled, “View Open Shifts”

  • When the user clicks “View Open Shifts” they will be taken to a list view of all available open shift

  • On this list view the user will see

    • the date and time of the shift

    • number of clients on the shift

    • number of staff needed for the shift

      • along with this they will see the number of staff that have already claimed the shift

    • the address of the shift (if one was provided when scheduling the shift)

  • Clicking into one of the Open Shifts listed will show the details of that shift

  • The user will see

    • The date and time of the shift

    • The client on the shift

    • The Staff (if any) who have already claimed this shift

  • When a user clicks “Claim Shift” the shift will then be added to their “Upcoming Shifts” on the homepage of the app and the user can work the shift as normal

Filtering for Open Shifts on the Calendar

  • We’ve added filtering capability for this on the calendar view on the dash board.

  • Users can filtering by the following

    • Open Shifts

      • this will show ALL (Not Claimed, Fully Claimed, and Partially Claimed) open shifts

    • Not Claimed

      • An Open Shift that was created where NO staff have claimed yet

    • Fully Claimed

      • An Open Shift that was created and the amount of staff need when the shift was created has been met

    • Partially Claimed

      • An Open Shift that was created and the amount of staff need when the shift was created has been partially met

        • Example: When creating a shift a user says that this Open Shift needs 3 staff members, but only one staff member has claimed. This would be considered “Partially Claimed”.

  • When an open shift is created the card will be great with an “Open Shift” tag until the shift is worked, then it follows the current color pattern

  • When a staff member claims the shift, they will be added to the card shown above. Until then it will show no staff on the shift.

Every step — from posting an Open Shift to a caregiver claiming it — is automatically tracked. This creates a clear trail that supports:

Admins having trust that coverage is secured in a way that meets compliance and client-safety standards.

Open Shifts were designed to help agencies quickly respond to:

  • Last-minute cancellations

  • Call-outs

  • Scheduling gaps

Until now, there was no way to post shifts without manually assigning staff. This update introduces a more flexible, efficient model that benefits both admins and caregivers.
