Past Shift Requests

Giv introduces a new feature to make documenting past shifts faster, more accurate, and significantly less burdensome for your team.

🧩 Overview

We're excited to introduce Past Shift Requests β€” a new feature designed to make documenting past shifts faster, more accurate, and significantly less burdensome for your team.

Until now, when a shift needed to be logged after the fact, the entire process fell on administrators. That meant manually creating the shift, adding billing records, entering payment data, and completing all required charting from scratch. At small volumes it's manageable, but as your agency grows, that kind of manual work creates real bottlenecks.

With Past Shift Requests, DSPs can now initiate a past shift request directly from the Giv mobile app β€” handling all the documentation themselves, including charting and service records β€” before submitting it for admin review. Admins stay fully in control, with the ability to approve, edit, or reject any request from the web dashboard.

The result? Your admin team spends less time on data entry and more time on review and oversight. Better accuracy, less back-and-forth, and a workflow that scales with your agency.

✨ What's New

For DSPs: Submit a Past Shift Request from the App

DSPs can now create and submit past shift requests directly from the Giv mobile app. On the calendar view, you'll see a new "+" icon in the top-right corner. Tapping it will present two options: Impromptu Shift (the existing iShift flow) and Past Shift (the new past shift request flow).

Selecting Past Shift will walk you through the following steps:

  1. Set the Shift Duration

    • Select your start date/time and end date/time. Note that past shift requests cannot exceed 24 hours in duration.

  2. Add Clients

    • Choose the client(s) associated with the shift. The available list is based on clients assigned to your staff profile. If your agency has staff-only shifts enabled, adding clients is optional.

  3. Provide a Reason

    • Enter a brief explanation for why the past shift request is being submitted β€” just enough context for your admin to understand why it's being logged after the fact.

  4. Complete Shift Details

    • After tapping "Continue", you'll be taken to the Shift Details page. Here, you'll need to complete all documentation that would normally be expected during an active shift:

      • Charting - Tap on a client to access their full profile, including Notes, Goals, Medications, Client Forms, Incident Reports, and more. Any charting that is required during a regular shift must also be completed before the request can be submitted.

      • Services - Add service records for each client by clicking on the β€œclock” icon and then selecting the Manage Services page. When adding a service, the start and end times will pre-fill to match the shift duration you entered, with the option to adjust as needed. All budget restrictions configured for each client are enforced.

  5. Submit the Request

    • Once charting and services are complete, tap "Submit Request" at the bottom of the Shift Details page. A confirmation prompt will let you know the request will be sent to your admin for approval and may impact billing and documentation.

    • After confirming, the shift will display a "Pending Approval" banner. Once approved by your admin, it will move to a completed state in the "Past Shifts" section on your app's homepage. Please note that once submitted, the request is locked and cannot be edited on your end.

    • If your agency has the "service only" flag enabled, the system will verify that a service is being logged for the entire duration of the shift before the request can be submitted.

For Administrators: Review, Approve, or Reject Requests from the Dashboard

Administrators can manage incoming past shift requests directly from the web dashboard. On the calendar view, clicking "Requests" will now show a new "Past Shifts" tab alongside existing request types.

Reviewing a Request

The Past Shifts tab displays all submitted requests, sorted with the most recent at the top. From the table view, you'll be able to see whether charting has been completed and whether the request would create any conflicts with existing shifts.

Clicking on a request opens the full Post Shift Report in a new tab with a "Pending Approval" banner at the top. From there, you can:

  • Review all shift details, charting, and service records submitted by the DSP

  • Check for shift conflicts (the conflicts indicator opens the same modal used during scheduling)

  • Approve the request to finalize the shift

  • Reject it if corrections are needed

  • Edit any details before approving

Your existing workflow for manually creating past shifts remains fully available. This feature is an addition, not a replacement.

βœ… How to Enable

Head to your Feature Settings β†’ Shift Settings on the web dashboard and toggle on "Shift Requests." Once enabled, DSPs will see the new Past Shift option in the mobile app, and the Past Shifts tab will appear on the dashboard for administrators.
