Overview: Reports (Incidents, Reimbursements, Activity Logs)

Overview of the reports section in the Dashboard.

The Reports section in the Dashboard gives administrators access to tools for reviewing incidents, tracking reimbursements, managing billing data, and more.


Incidents

When an incident occurs during a shift, the caregiver can submit an incident report directly through the mobile app. Once submitted, selected admins will receive an email notification so the incident can be addressed within the required timeframe. The report will remain permanently tied to the client.

Unverified Reports will appear in the Dashboard, so admins can easily view and verify new reports.

Navigating incident reports

To access incident reports:

  1. Click Reports in the left menu

  2. Click Incidents in the left menu

The Incidents page includes two tabs: Analytics and List View.

The Analytics tab displays key metrics, including Total Incidents, Incidents by Type, Unverified Incidents, and Incidents by Clients and Staff. Each chart can be filtered by a selected date range.

The List View tab provides a complete list of all submitted incident reports. This list can be filtered by date range, status, and incident type. Find the report and click Details to see the full report. Admins can verify or add comments to the report and export it if needed.

Verifying incident reports

After a report is submitted, an admin can verify the incident. There are 2 main ways to access and verify incident reports:

Option 1: the Incidents page

  1. Click Reports in the left menu

  2. Click Incidents in the left menu

  3. Select List View in the top left

  4. Find the report and click Details

Option 2: the Home page

  1. Click Home in the left menu

  2. Scroll down to the Unverified Incidents section and click View all

  3. Find the report and click Details

After viewing the report details, admins can select Mark as Verified and add any relevant comments. When a report is marked as verified, the system records who verified it and the date and time of verification.


EVV error logs

The EVV Error Logs section shows any errors that occur when EVV data is sent to the state aggregator. It serves as a critical monitoring and troubleshooting tool by identifying submission failures, allowing agencies to resolve issues in real time and maintain EVV compliance.

Navigating EVV error logs

To access the error logs:

  1. Click Reports in the left menu s

  2. Click EVV Error Logs in the left menu

The log displays the Action, Client, Time, and Error for each entry. Click Details to view additional details about the specific error. After resolving the issue, return to the Details view and click Re-Sync to resubmit the data.

Once EVV errors are corrected, they will disappear from the error log.


Reimbursements

Reimbursements are solely referring to caregiver reimbursements for transportation. It allows agencies to reimburse caregivers and staff for miles driven on behalf of clients. Reimbursements are set up during the onboarding stage.

Before reimbursements can be reported, transportation must be enabled, staff settings configured, and a reimbursement-only transportation form created. See Setting Up Transportation for further details.

Navigating reimbursement reports

To view all reimbursements:

  1. Click Reports in the left menu

  2. Click Reimbursements in the left menu

Whenever a Caregiver Reimbursement form submitted out with odometer details, the information appears in the reimbursement report. Each entry includes:

  • Caregiver Name

  • Total Miles

  • Reimbursement Rate (as set in the caregiver profile)

  • Total Reimbursement Amount

You can filter the report by date range or use the search bar to locate specific entries.

To export reimbursements:

  1. Select the reimbursements you want to export by checking the boxes next to each entry. To select all, click the box in the top left corner of the table

  2. Click Export to CSV in the top right corner

The CSV file will download immediately to your computer.


Billing export

The Billing Export section lets you quickly export Billing or Charting data in one step. Click Export, select the date range, and then click Generate Report. Once the report is ready (this may take a few minutes), click Download Report to save the file to your computer as as CSV.


Activity logs

Activity Logs (also known as Audit Logs) provide a detailed, real-time record of all activity within your system. This feature gives administrators visibility into what changed, when it changed, and who made the change—supporting compliance, accountability, and easier troubleshooting.

To see activity logs, users must have a role with the Activity Log access level enabled. By default, this is enabled for the admin role.

Navigating activity logs

To access activity logs:

  1. Click Reports in the left menu

  2. Click Activity Logs in the left menu

Activity logs are automatically organized to provide a clear overview of activity across your account. Each log entry displays the following information:

  • Timestamp: The date and time the change occurred

  • Actor: The user who made the change

  • Category: The area affected, grouped into one of three categories:

    • Shifts: Status changes, creation, updates, and deletions

    • Users: Account changes, role updates, and profile modifications

    • Billing: Rate changes, billing updates, and invoice activity

  • Changed Field: The specific item that was updated (such as status, shift name, or value)

Select any log entry to view additional details, which may include:

  • Event: The action performed (Created, Updated, Deleted)

  • Affected Fields: The specific fields that were modified, including their previous values

  • Affect Shift: A clickable link to the shift that was updated

You can filter activity logs by date range to view activity during a specific time period—for example, reviewing all system changes made during the month of January.
