The Reports section in the Dashboard gives administrators tools for reviewing incidents, monitoring EVV errors, tracking caregiver reimbursements, exporting billing and charting data, and reviewing system activity.
The Reports section includes six areas:
Analytics
Incidents
EVV Error Logs
Reimbursements
Billing Export
Activity Logs
Analytics
See Overview: Analytics for more information about this section.
Incidents
The Incidents section allows administrators to review and manage incident reports submitted by caregivers. When a caregiver submits an incident report through the mobile app, designated admins are notified by email. The report remains associated with the client for future reference.
New reports appear as Unverified until an admin reviews and verifies them.
Viewing Incident Reports
To access incident reports:
Click Reports in the left menu
Click Incidents in the slide-out menu
The Incidents page includes two tabs:
Analytics: View incident trends and metrics, including total incidents, incidents by type, unverified incidents, and incidents by client or staff member. Analytics can be filtered by date range.
List View: View individual incident reports and filter them by date range, status, or incident type. Click Details to review a report, add comments, verify it, or export it.
Incident reports can also be accessed from an individual shift or the client's profile.
Accessing an Incident Report from a Shift
Find and select the shift
Click the Charting card
Select the Incidents tab to view any submitted reports during that shift
Accessing an Incident Report from a Client Profile
Click Clients in the left menu
Search for and select the client
From the client Dashboard, click the Incidents tab
You can also click Charting in the client's slide-out menu and select the Incidents tab.
Verifying Incident Reports
Admins can verify an incident from either the Incidents page or the Home page.
From Incidents:
Click Reports > Incidents
Select List View
Find the report and click Details
Review the report and click Mark as Verified
Add comments if needed
You can also access unverified reports from the Unverified Incidents section on the Home page.
When an incident is verified, Giv records the admin who verified it and the date and time of verification.
EVV Error Logs
The EVV Error Logs section shows errors that occur when Giv sends EVV data to the state aggregator (i.e. Sandata). Use this area to identify failed submissions and troubleshoot errors.
To access the error logs:
Click Reports in the left menu
Click EVV Error Logs in the slide-out menu
Each entry displays the Action, Client, Time, and Error. Click Details to view additional information about the error.
Once EVV errors are corrected, they will disappear from the error log.
Note: Some EVV issues may require changes to the client, caregiver, or service record before the record can be successfully resynced. Contact Giv Support if you need help troubleshooting an error.
Reimbursements
The Reimbursements section provides a report of caregiver transportation reimbursements. Administrators can review mileage and reimbursement amounts, filter entries, and export reimbursement data.
Before reimbursements can appear in the report, Transportation must be enabled, staff reimbursement settings must be configured, and a reimbursement-only transportation form must be created. See Setting Up Transportation for more information.
Viewing Reimbursements
To access reimbursement reports:
Click Reports in the left menu
Click Reimbursements in the slide-out menu
Reimbursement entries are generated from submitted Caregiver Reimbursement forms that include odometer information. Each entry includes:
Caregiver Name
Total Miles
Reimbursement Rate
Total Reimbursement Amount
Use the date range or search bar to find specific entries.
Exporting Reimbursements
Select the reimbursements you want to export
Click Export to CSV
To select all visible reimbursements, click the checkbox at the top of the table.
Note: The Reports > Reimbursements page is for reviewing and exporting reimbursement data. If your agency uses Giv Payroll, reimbursement entries are reviewed and paid through Payroll > Reimbursements. See Managing Reimbursements and Adjustments in Payroll for that workflow.
Billing Export
The Billing Export section provides a quick way to export Billing or Charting data for a selected date range.
To create a billing export:
Click Reports in the left menu
Click Billing Export in the slide-out menu
Click Export
Select the Start Date and End Date
Click Generate Report
When the report is ready, click Download Report
The report is downloaded as a CSV file.
Note: Use Finance > Claims when you need claim-ready billing data, payer-specific exports, or claim batching. See Overview: Finance for more information.
Activity Logs
Activity Logs, also known as audit logs, provide a record of changes made throughout your Giv account. Use them to see what changed, when it changed, and who made the change.
Activity Logs can be useful for auditing, troubleshooting, and reviewing changes to shifts, users, and billing information.
Viewing Activity Logs
To access activity logs:
Click Reports in the left menu
Click Activity Logs in the slide-out menu
Each log entry may include:
Timestamp: When the change occurred
Actor: The user who made the change
Category: The area affected
Changed Field: The field that was changed
Activity is grouped into categories such as:
Shifts: Shift creation, updates, deletions, and status changes
Users: Account, role, and profile changes
Billing: Billing and rate changes
Click an entry to view additional details, which may include the action performed, the fields that were changed, previous values, and a link to the affected shift.
Use the date range filter to narrow the activity logs to a specific period.
Activity Log Access
Users must have the Activity Log access level enabled for their role to view Activity Logs. This access is enabled by default for the Admin role.
