DSPs can submit time change and past shift requests directly through the mobile app. Time change requests allow them to submit changes to clock-in or clock-out times, which are then reviewed and approved by an admin. Past shift requests let them submit previously worked shifts, including all required documentation, for admin approval.
These features reduce administrative workload by removing the need to manually create or adjust shifts. Instead, admins simply review and approve submitted requests, making shift updates faster, more accurate, and easier to manage for the admin team.
All requests will appear in your Calendar for review before they are finalized.
Enabling the Feature
To allow DSPs to submit time change and past shift requests, the setting must be enabled both in Feature Settings and on each individual caregiver profile.
To enable in Feature Settings:
Click the dropdown arrow in the top left corner
Click Feature Settings
Select the Shift settings card
Turn on Shift Requests in the Requests section
To enable in the caregiver profile:
Click Personnel in the left menu
Click Staff in the left menu
Search for the staff member and click on their name
Click Settings in the slide-out menu
Turn on Shift Requests in the Requests section
Click Save Settings
Accessing Requests
Both time change and past shift requests will be accessed through the Calendar.
To access requests:
Click Shifts in the left menu
Click Calendar in the left menu
Click Requests (a notification will appear if there are pending requests)
This will take you to the Requests page, which includes a Time change tab and a Past shifts tab. Each tab displays the number of requests in Pending, Approved, and Rejected status.
Time Change (Shift Edit) Requests
DSPs may submit a time change (also known as a shift edit) request if they forget to clock in or out, encounter technical issues, or continue working after clocking out.
By default, you will land on the Time change tab when you open Requests. Requests are displayed with the most recent at the top. In the table view, you can see the Request type, Staff, Original time, Time change, Status, and Date Submitted.
To view additional details of the request:
Find and hover over the request
Click View details
If all details are not visible, click the dropdown arrow next to Requested change (Pending) to expand and view the full information
The Requested change details will display the original time and the requested updated time, along with the resulting adjustments to the associated payment record.
To approve or reject a request:
Review the request details
Click Edit records next to Shift Log to update Clock In, Clock Out, or Service Provided times as needed
If changes are made, click Save Changes
Add notes as needed (optional)
Choose Approve or Reject
If the request is Rejected:
The DSP will be notified in the app
No updates will be made to the shift or its corresponding billing and payments records
If the request is Approved:
The DSP will not receive a notification in the app
The shift times will be updated everywhere it appears
The billing and payroll records will be updated accordingly
Note: In addition to the Calendar view, time change requests are also displayed on individual shift overviews with a This shift has Time Change Requests banner at the top. Select View all and choose the request you want to review.
Past Shift Requests
DSPs may submit a past shift request, including all shift documentation, if they worked a shift but were unable to clock in and out.
To view past shift requests, select the Past shifts tab on the Requests page. Requests are displayed with the most recent at the top. In the table view, you can see Staff, Status, Date submitted, and whether Charting was completed. Adjust the date range by selecting the date range picker.
To view additional details of the request:
Find and click on the request. You will be taken to the Shift Information page. A Pending Approval banner will appear at the top of the page
Review the request details
Click the Billing, Payments, or Charting cards to make any changes
Choose Approve or Reject in the banner
Click Confirm
If the request is Rejected:
The DSP will not receive a notification in the app
The shift status changes from Pending Approval to Admin Rejected
If the request is Approved:
The DSP will not receive a notification in the app
The shift status changes from Pending Approval to Completed
The shift will appear in the Calendar
Compliance
To ensure data accuracy, the system alerts the admin of:
Staff being on two shifts at once
Clients having overlapping service records
Creating double billing via overlapping time edits
Any edits that would break compliance are automatically blocked.
