Set and track billable service limits in real time. These new tools help agencies stay compliant, prevent overbilling, and give teams clear visibility into remaining units and budgets.

Updated over 2 months ago

Overview

Some states require strict limits on the number of billable service units within daily, weekly, or monthly timeframes. This release introduces tools for agencies to set, enforce, and track usage limits in real-time. The update ensures compliance with state regulations, prevents overbilling, and gives both administrators and caregivers visibility into remaining budgets.

Impacted Users

  • Agency Owners & Admins

  • Managers (with partial admin permissions)

  • Caregivers

  • Guardians

  • Clients & Guest Access (billing, auditors, etc.)

  • Platforms: Web Dashboard and Giv Mobile App

New Features and Feature Enhancements

  • Set Usage Limits

    • Admins can define maximum units per day, week, and/or month.

    • Flexible configuration allows agencies to set just one type of limit (e.g., monthly only) or all three.

    • Limits don’t have to align (e.g., 20 monthly units and 6 weekly units).

  • Enforced Compliance

    • The system now checks budget availability when a Direct Support Professional goes to start an Impromptu Shifts and during active shifts.

      • If a client doesn’t have any budget (daily, weekly, monthly) they will not appear for selection when starting an Ishift.

    • Caregivers receive notifications when a client is close to their budget limit:

      • 31% budget remaining

      • 15% budget remaining

      • 10% budget remaining

      • Client has run out of budget

    • If no action is taken, services end automatically when the budget expires.

    • Caregivers are shown a follow-up in-app notification explaining:

      • A budget is nearing it’s limit

        • 31% budget remaining

        • 15% budget remaining

        • 10% budget remaining

          • These in app notifications don’t require any action

      • the Client’s services have ended due to an expired budget

        • This in app notification requires service change for the Client (if applicable)

  • Real-Time Visibility

    • Admins can view available daily, weekly, and monthly units in the Budget Details page on a Client’s profile.

  • Shift Management: Availability checks extended to active shifts.
