Correcting Past Shifts

How to find and correct past shifts in the Dashboard.

Shift corrections may be required if a DSP forgot to clock in, clocked in late, stayed beyond their scheduled time, or did not complete documentation. Admins can review and make these updates directly in the Dashboard.


Locating the completed shift

There are multiple ways to find a completed shift.

Option 1: Service Records

  1. Click Finance in the left menu

  2. Click Claims in the left menu

  3. Click Service Records in the slide-out menu

  4. Find the shift by filtering the table using the date range, search bar, or other filters.

  5. After finding the shift, scroll to the far right and click View Shift

Note: Service Records are also a great way to audit shifts.

Option 2: Scheduling

  1. Click Shifts in the left menu

  2. Click Scheduling in the left menu

  3. Find the shift by filtering the list using the date range, search bar, or other filters.

  4. After finding the shift, scroll to the far right and click Details

Option 3: Calendar

  1. Click Shifts in the left menu

  2. Click Calendar in the left menu

  3. Find the shift by filtering the calendar using the date range, Filter by section, or other filters.

  4. Click on the shift

Option 4: Clients

  1. Click Clients in the left menu

  2. Find the client and click Shifts

  3. Find the shift by filtering the list using the date range, search bar, or other filters.

  4. After finding the shift, scroll to the far right and click Details

Once in the Shift Details, you will be able to edit the Billing, Payments, and Charting.


Editing the billing record

Edit the billing record if the DSP forgot to clock in or out when running a service or if they ran services longer than the original shift.

  1. In Shift Details, click the Billing tile at the bottom of the page

  2. Click Edit in the top right corner

  3. Adjust the Start or End Times as needed

  4. Click Save

If you need to add an additional billing record:

  1. In Shift Details, click the Billing tile at the bottom of the page

  2. Click + Add Record

  3. Select the Client’s name in the dropdown menu

  4. Select the Caregiver’s name in the dropdown menu

  5. Set the Start Time and End Time

  6. Enter the Location

  7. Select the Billing Code from the dropdown menu (only Billing codes tied to the Client’s budget will appear)

  8. Click Save


Editing the caregiver payment

Edit the payment record if the DSP worked outside the shift without running a service (e.g., doing admin work or training).

  1. In Shift Details, click the Payments tile at the bottom of the page

  2. Click Edit in the top right corner

  3. Adjust the Start or End Times as needed

  4. Click Save

Note: Keeping time entries in sync ensures payroll accuracy.


Updating charting (notes, goals, meds, incidents)

Edit the charting if the DSP forgot to add or edit notes, goals, meds, forms, or incidents.

  1. In Shift Details, click the Charting tile at the bottom of the page

  2. View, add, or edit:

    • Notes about the shift

    • Goals worked on

    • Medications administered or refused

    • Forms

    • Incident Reports

  3. Ensure everything is logged as needed for the client

All updates will be tied to that individual shift to ensure accurate information for billing, compliance, and reporting purposes.

DSP charting access

If enabled, DSPs can also complete documentation after a shift.

To enable this setting:

  1. Click the dropdown arrow in the top left corner

  2. Click Feature Settings

  3. Select the Post Shift Report tile

  4. Turn on Enable caregiver access to post-shift reports

  5. Click Edit next to a section to define what DSPs can access and how long access is available after the shift ends.


Missed shifts

Missed shifts cannot currently be deleted. Once a scheduled shift has passed, it will remain on the calendar.
