Setting Up Your Agency

Learn the foundational setup required before running your first shift, including payers, service codes, clients, budgets, and staff members.

Before your team can begin documenting services and running shifts, there are a few foundational records that need to be created in Giv. These records work together to ensure your staff can clock in, document services, and generate accurate billing, payroll, and reporting data.

What Needs to Be Set Up?

Before running your first shift, your agency should have the following configured:

  • Payers

  • Service Codes

  • Individuals (Clients)

  • Budgets or Authorizations

  • Staff Members

Once these records are in place, administrators can begin scheduling shifts and staff can start using the Giv mobile app.

Payers

A payer is the organization responsible for paying for the services your agency provides. This could include Medicaid, county programs, state agencies, private insurance, or other funding sources.

Before creating budgets or authorizations, you'll first need to create the appropriate payer.

To create a payer:

  1. Navigate to Finance.

  2. Select Payer Management.

  3. Click Create Payer.

  4. Enter the payer's information.

  5. Select Save.

Service Codes

Service codes identify the services your agency provides.

While administrators often recognize services by their billing or Medicaid codes, staff can be presented with clear, user-friendly names like Supported Living or Respite. This makes it easier for DSPs to select the correct service while Giv handles the billing details behind the scenes.

To create a service code:

  1. Navigate to Finance.

  2. Select Codes.

  3. Click Create New.

  4. Enter the required information, including the billing code, display name, rate, and unit type.

  5. Select Save Code.

Individuals (Clients)

Individuals should be added after your payers and service codes have been created.

To add an individual:

  1. Navigate to Clients.

  2. Select Create Client.

  3. Enter the individual's information.

  4. Select Save.

If you're adding multiple individuals, you can also import them using Giv's CSV template.

Budgets & Authorizations

Budgets connect an individual with a payer and service code while defining how many units have been authorized and when those services can be provided.

To create a budget:

  1. Open the individual's profile.

  2. Select Budget.

  3. Click Create Budget.

  4. Select the appropriate payer and service code.

  5. Enter the authorized units, rate, and effective dates.

  6. Add any daily, weekly, or monthly restrictions if needed.

  7. Select Save.

Staff Members

Before staff can begin using Giv, they'll need their own account.

To invite a staff member:

  1. Navigate to Personnel.

  2. Select Staff.

  3. Click New Staff Member.

  4. Enter the staff member's information.

  5. Select Invite.

Each staff member must have:

  • A unique email address

  • A personal U.S. phone number capable of receiving verification codes

If you're onboarding a large team, staff can also be imported using a CSV template.

You're Ready for Your First Shift

Once your payers, service codes, individuals, budgets, and staff have been created, your agency is ready to begin scheduling and completing shifts in Giv.
