Creating and Scheduling Groups

How to create and schedule groups in the Dashboard.

Create groups that include any combination of staff members and clients to schedule shifts more efficiently, rather than adding individuals one at a time. This not only saves time but also minimizes errors, prevents missed assignments, and allows you to filter the calendar instantly.

This is commonly used in high-volume care environments such as day programs or group homes.


Creating a Group

To create a group:

  1. Click the dropdown arrow in the top left corner

  2. Click Feature Settings

  3. Select the Groups tile

  4. Click + Create group

  5. Click the pencil icon next to the temporary group name, add a name for the group, then click the check mark to save

  6. Click Add people

  7. Search for and select the check mark next to every member you want added

  8. Click Add to group

This group will now be available as a filter in the calendar and can be used when scheduling shifts.


Scheduling a Group

Independent Clock-Ins

When scheduling a group, you can enable Independent Clock-ins which will keep the shift open the entire scheduled duration, allowing staff to clock in and out as needed throughout the shift.

To turn on: select the checkbox next to Enable Independent Clock-ins.

Add people to shift

When creating a shift, in the Add people to shift search bar, search for the group name instead of looking up each client and caregiver individually. Selecting the checkbox next to the group name will add all clients and caregivers in that group to the shift at the same time.


Filtering in the Calendar

You can filter the Calendar by group to view only the shifts for that specific group.

In the Filter by side panel, click the Groups tab, then select the checkboxes next to the group(s) you want to view in the calendar. Hover over View to see what clients and caregivers are part of the group.
